DUTIES : Provide registry counter services: Attend to clients. Handle cellphone and different enquiries received. Receive and register hand delivered mail / files. Handle incoming and outgoing correspondence: Receive all mail. Sort, register and dispatch mail. Distribute notices on registry issues. Render superb filing and file administration services: Opening and closing documents according to file classification system. Filing / storage, tracing (electronically/manually) and retrieval of documents and files. Complete index playing cards for all files. Operate office machines in relation to the registry function: Open and hold franking machine register. Frank post, report money and update register daily. Undertake spot exams on put up to ensure no private submit is included. Lock submit in postbag for messengers to supply to Post Office. Open and preserve remittance register. Record all valuable articles as prescribed in the remittance register. Hand offers and signs over remittances to finance. Send incorrect remittances back to sender by way of registered put up and record reference number in register. Keep day by day report of quantity of letters franked. Process archives for archiving and / disposal: Electronic scanning files. Sort and packages archives for archives and distribution.Compile list of all files to be archived and publish to the supervisor. Keep information for archived documents.
